言い訳を長々と書かずに 相手に対して取ったアクションとやれること(オファー)を速やかに述べるスタイルは こうした状況に適した文章と言えるでしょう。具体的には we are requesting that ... 以下に 新しいものを(作って)何時何時までに送るので如何でしょうか というオファーになっている。最後に、Please accept our apology for ... と謝罪をしているが、このフレーズは 非常に良く使われるスタイルだ。
This is to acknowledge that we are in receipt of your notice whereby you informed us that the goods shipped to you on February 23, 2019 did not conform to the agreement we have signed on July 14, 2018. We regret the mistake on our part, and have already started a thorough investigation so that the same mistake will never take place in the future.
While we recognize that the time for performing the work under this agreement has expired, we are requesting that you extend the time to April 20, 2019 so that we may cure the defect by replacing the shipment with goods that conform to our agreement.
Please accept our apology for this inconvenience. We will be looking forward to your response.
